How your organisation works

A family plans one week while your team coordinates many different groups.

A child may join chess on Monday and art on Thursday, while a sibling follows another timetable. Instructors work at different schools or rooms. Separate spreadsheets make it difficult to establish which activity a payment covers, who is booked and who actually attended.

Klunivo keeps children as separate participants connected with guardian access. Groups and locations reflect the provider's programme, while instructors work with their own sessions. The office can review services, documents and participation without reconstructing the family's arrangements from individual messages.

Everyday scenarios

How can your team use Klunivo?

These scenarios use existing Klunivo capabilities. They do not assume custom sport-specific modules.

01

Several activities per child

Connect one participant with different groups. Each session retains its own instructor, time and attendance record, keeping a booking distinct from an actual visit.

02

Siblings and parent access

Give a guardian access to the relevant child profiles. Services, documents and group membership remain distinct even when siblings take different activities.

03

Instructors across venues

Organise sessions by location and assigned staff. The activity leader uses the correct list for the group they are teaching that day.

04

A new programme period

Handle enquiries and trials for new families. Review previous participation when agreeing continuation without creating another child record.

Workflow

From initial setup to regular classes.

Connect participants and classes with the information each staff role needs.

  1. 01

    Map the activity programme

Define age groups, venues and capacity. Assign instructors to the weekly sessions so the schedule reflects the actual delivery plan.

  2. 02

    Register the family

Connect the guardian with each child and select the services covering their chosen activities. Prepare the required documents.

  3. 03

    Run the teaching week

Review bookings, record attendance and communicate with the relevant groups. Use the shared timetable when answering parents' questions.

  4. 04

    Arrange continuation

Check payments and participation before the next programme period. Discuss any changes to the child's activities with the family.

FAQ

After-school programmes: common questions

How is this different from the children's activities solution?

This page focuses on coordinating several after-school programmes, instructors and venues. The children's activities page explains the family administration model more broadly. Both use the same connected participant records.

Can a child join several different activities?

Yes. A participant can be connected with different groups and services. The provider defines which activities are included in each offer.

Does attendance include authorised child collection?

A session attendance list records participation. It does not establish child-release authorisation, a collection register or hourly childcare billing. Review those requirements separately if they are part of your service.

What should we bring to an after-school programme demo?

Bring a sample weekly timetable, venue list, staff responsibilities and payment model. Include siblings in different groups and a new child's trial booking so the review covers your actual administration.
