The operational challenge

An enquiry needs an owner, a trial date and a follow-up.

Interest arrives through forms, campaigns and conversations. When each channel becomes a separate list, staff lose the context: who replied, which class was offered and whether the visitor attended.

Klunivo connects the lead to a practical reception workflow. A missed trial can lead to a considered follow-up, while a successful first visit continues towards membership.

How Klunivo works

From setup to everyday use.

Shared records let colleagues continue the process without copying the same information.

  1. 01

    Capture the enquiry

Keep the submitted contact and supported campaign information with the lead.

  2. 02

    Assign the next action

Set responsibility, a task and a due date for the next conversation.

  3. 03

    Arrange a trial

Connect the visitor with a real class and give the coach the relevant context.

  4. 04

    Review the outcome

Record attendance or a no-show and decide whether to enrol, reschedule or close the enquiry.

A day in the club

An enquiry still has an owner after the form is submitted.

A trial enquiry is useful only when someone acts on it. Reception and the coach need enough shared context to welcome the person and decide what happens after the class.

  1. 01

    Record the enquiry

Capture the contact and available campaign or source information.

  2. 02

    Assign the next action

A team member takes responsibility for arranging an appropriate trial.

  3. 03

    Prepare the coach

The trial participant appears in the context of the chosen session.

  4. 04

    Record the outcome

After attendance, follow up on membership with the relevant permissions and contact history.

Outcome: The owner can review the journey from enquiry to attendance and membership, instead of counting forms alone.

01

Keep the acquisition source with the enquiry

Supported public forms can retain source, campaign, form, landing-page and referrer context, together with UTM source, medium, campaign, content and term. A selected group, location and trial date can also stay connected with the enquiry. This makes it possible to review what happens after someone submits the form.

There is currently no direct integration with Meta Lead Ads or Google Ads Lead Forms. Campaigns can point to a Klunivo public form, preserving UTM information, or staff can record the source manually.

02

Work from the next action

Reception can focus on stages such as new enquiries, contacts to make, trials today, overdue tasks, completed trials, no-shows and trials without a purchase. Lead and trial tasks can have an owner, due date, status and completion record. They are more than a visual move between pipeline columns.

A completed trial and a no-show need different follow-up. The coach records what happened at the session; reception continues the enquiry. The coach’s current panel is not a full lead-sales workspace for arbitrary stage changes and offer sending.

03

Review the full trial journey

Separate enquiry-to-contact, contact-to-trial, arranged-to-attended trial and trial-to-purchase. A missed trial can lead to another date, while a successful first class can lead to a relevant membership conversation. Keep the original source with that history rather than judging a campaign only by the number of submissions.

FAQ

Leads and trial classes: common questions

Does Klunivo retain UTM information?

Supported lead forms can retain campaign and source information. Confirm the fields used by your form during integration.

Is a trial class the same as the Klunivo software trial?

No. A trial class is a prospective participant’s visit to your club. The software trial is the club’s evaluation of Klunivo.

Is there a direct Meta Lead Ads integration?

Do not assume a direct integration. Klunivo’s documented workflow uses supported forms and lead sources; agree any additional integration separately.
