The operational challenge

The front desk handles several workflows at the same time.

A parent asks about a payment while a newcomer arrives for a trial and a coach needs an attendance correction. Switching between personal messages, spreadsheets and administrator screens slows every response.

Klunivo gives reception a dedicated operational workspace. Staff can find the member, session or enquiry concerned and continue the work within their assigned access.

Front-desk management: how it works

Explore the module’s scope, operating rules and practical examples for your club.

01

Start with the day’s classes and outstanding work

Reception’s dedicated workspace focuses on scheduled classes, booking counts, upcoming sessions and quick access to daily operations. Leads and trials connect with contact tasks and the follow-up after attendance or a no-show. These tasks can have due dates and statuses.

When a participant asks for help, reception can review the relevant group, service, payment, attendance, documents and family context within the available workflow. Messages remain connected with club operations rather than an employee’s private inbox.

02

Handle class arrivals in session context

Staff can find the person and the appropriate session, add a booking where needed and perform check-in. The process can check active membership, participation permissions and available visits according to configuration.

This is operational check-in for classes. It is not an independent 24-hour building-access system and does not imply turnstiles or RFID hardware.

03

Use a kiosk for routine session check-in

A tablet kiosk can serve a particular session. Booked participants select their profile and confirm attendance. The current kiosk does not use an individual PIN or QR code.

The kiosk complements reception rather than taking over every exception. Staff still handle questions and missed entries, and can review individual-training context alongside the other work of the day. The separate workspace keeps these common tasks accessible without requiring the full owner’s dashboard.

FAQ

Front-desk management: common questions

Is reception a separate workspace?

Yes. Reception has a dedicated view rather than relying on the administrator’s account.

Can reception handle leads and trials?

Yes. The front-desk workflow includes leads, tasks and trial-class handling.

Is check-in the same as physical access control?

No. The documented workflow records class participation; it does not promise turnstiles or RFID building access.
